Stockroot

How Stockroot works, start to finish.

Six steps across three phases. The order is the order the records depend on each other — which is why the workspace is set up with you rather than handed over empty.

The walkthrough

From an empty workspace to a profit-and-loss figure.

Written out here so it can be read before anyone signs anything.

  1. Set up

    Set up the workspace

Each business gets its own workspace at yourcompany.stockroot.pk, with its own users and data. Add your godowns, your logo and colours, choose what printed documents show, and switch sales tax on if your company charges it.

  2. Set up

Bring in products, parties and opening stock

Import the catalogue from Excel or CSV using a fixed four-column template — category, product name, unit and pack size — or add products one at a time with SKU, brand and a reorder level. Customers, suppliers and banks each carry their own ledger from the moment they exist. Then record opening stock for each warehouse.

  3. Operate

    Buy stock in

Raise a purchase order, which someone with approval rights confirms. Each goods receipt records what actually arrived and into which godown: stock rises, the average cost updates, and the supplier bill for what was received is created in the same step.

  4. Operate

    Sell stock out

Convert a quotation into a sales order. Confirming it reserves the stock; each delivery takes stock out and raises the invoice for what was actually delivered, while the rest stays reserved. Returns reverse a movement rather than deleting it.

  5. Operate

    Record the money

Customer payments are matched to open invoices and advances are applied to later ones. Supplier payments, operating expenses and salary payments are recorded against your bank accounts or cash, so balances stay current without a separate reconciliation.

  6. Review

    Read the dashboard and reports

The dashboard shows revenue, gross profit and cash, with a monthly profit-and-loss chart. Reports cover stock, sales, purchases, receivables, payables, aging, cash position, party balances and payroll, and export to CSV, Excel or PDF.

Why this order

What breaks if you skip ahead.

Every one of these is a mistake that is cheap to avoid at setup and expensive to correct after three months of trading.

Godowns come before stock

Stock is held per warehouse, and every receipt, delivery and transfer names one. Set the godowns up first and opening stock, purchase receipts and reports all have somewhere to point.

Opening stock comes before the first sale

Stock on hand is a running total of movements. If the opening count is wrong, every figure derived from it — stock value, gross profit, low-stock alerts — is wrong by the same amount until a stock count corrects it.

Documents move stock, edits do not

Stock is never typed over. It changes only through a goods receipt, a delivery, a return, a transfer or an approved adjustment, so a figure that looks wrong can be traced to the document that changed it.

Confirm before you promise

A draft sales order reserves nothing. Confirming it reserves the stock, which is what stops two people selling the same cartons — so orders that are real should be confirmed, not left as drafts.

Getting started is contact-led, on purpose.

Stockroot runs as a private workspace at an address of the form yourcompany.stockroot.pk, with its own users and data. There is no public self-serve signup: get in touch and the workspace is set up with you, using your kind of data. A self-serve signup would put a business in front of an empty system with no godowns, no catalogue and no opening stock, which is the point at which most inventory software gets abandoned. Setting the workspace up together means those are right before anyone raises the first order.
